Introduction

Formbird FLEET is a fleet management application that brings together everything an organisation needs to manage its assets, vehicles, and maintenance activity in one place. It runs in a web browser on any device — no installation required.

This help centre covers every part of the application. Whether you are a driver booking a vehicle, a technician recording workshop time, or an administrator setting up the system, you will find guidance here.


What Formbird FLEET Does

Formbird FLEET is built around the asset — the physical item being tracked and maintained. Everything in the application connects back to assets: the work carried out on them, their costs, their usage, their bookings, and their history over time.

The main areas of the application are:

Fleet Booking Manage a pool of shared vehicles that staff can book for short-term use. Drivers and operators book assets from a calendar, and the system tracks availability, key access, and booking history. See FLEET Booking.

Daily Driver Pre-Starts Digital safety checks completed by operators and drivers before using an asset. Faults reported on a Daily Driver flow directly into the workshop workflow. See Daily Driver Pre-Starts.

Asset Management The central record for each asset — tracking its details, components, documents, status, and lifecycle from acquisition through to replacement. See Assets.

Workshop and Maintenance The core of the application for maintenance teams. Requests capture what needs to be done; Work Orders capture what was done. The Workshop Dashboard gives supervisors and technicians a real-time view of all activity. Preventive maintenance service schedules automate service generation. See Workshop.

Fleet Running Costs Record and track costs against assets — fuel transactions, toll charges, insurance and registration renewals, and other expenses. See Fleet Running Costs.

Reporting A range of reports across assets, workshop activity, Daily Drivers, bookings, and financials. See Reporting.


The Formbird Platform

Formbird FLEET is built on the Formbird low-code platform. The platform provides the underlying document model, user authentication, form rendering, and data storage that power all Formbird applications. You do not need to understand the platform to use Formbird FLEET, but if you are an Administrator or are integrating Formbird FLEET with other systems, the Formbird platform documentation covers APIs, data structures, and configuration options in detail.
