Rosters

A Roster defines a user's normal working hours for each day of the week. Rosters are used to calculate overtime costs when time is recorded against Work Orders — the roster active on a user's account at the time of a Work Order determines what counts as standard hours and what counts as overtime.

A single roster document can be assigned to multiple users, so you only need one roster per distinct set of working hours rather than one per person.

Only Administrators can create Roster records.


Creating a Roster

  1. From the System Administrator Menu, open the System Administration dropdown and select Account Management.
  2. Select Account Reference Data to scroll to that section.
  3. Select New Roster.
  4. In the Roster Details panel, enter a Name for the roster — for example, Standard Hours or On-Call Hours.
  5. Enter start and end times for each applicable day of the week.
  6. Use the Copy Time Down button after entering Monday's times to copy them to the remaining days.
  7. Enter the expected break duration in the Total Break Minutes Per Day field.
  8. Select the save tick to save the record.

Assigning a Roster to a User

  1. Navigate to the user's account.
  2. Open the Availability panel.
  3. Select the applicable roster in the Roster field. The rostered hours are displayed on the account once selected.
  4. Select the save tick.

The roster assigned at the time a Work Order is completed is the one used for overtime calculations. Update a user's roster when their working hours change.


Managing Changing Rosters

For users who rotate between different schedules, the recommended approach is:

  1. Create a separate roster document for each set of working hours your organisation uses.
  2. Assign the user to their standard roster.
  3. When they move to a different schedule, update the Roster field on their account to the appropriate roster.
  4. When they return to their standard schedule, change it back.
