Journals
Journals provide a structured export of cost data from Formbird FLEET in a format suitable for importing into an external accounting system. The journal export is date-based — each run retrieves all cost transactions for a specified day.
Running a Journal
The Journal export is available from the Financial section of the Administrator Menu.
- Navigate to the Journal tool.
- Select the Journal Date — the day for which to retrieve cost data. If no date is selected, the export defaults to the previous day.
- Select Download. The journal data is downloaded as a CSV file.
The download date is recorded automatically when the export runs successfully.
Journal Format and Configuration
The exact format and column structure of the journal export is configured to match your organisation's accounting system. The output maps cost categories from Formbird FLEET (fuel, labour, materials, tolls, registration, insurance, and so on) to the account codes used in your accounting system.
Contact Formbird Support if the journal output format needs to be adjusted, or if you need to set up a journal export for the first time.
Automating Journal Exports
Journal exports can be automated using the Formbird Fleet API. The journal API function retrieves the journal CSV data for a given date:
- If a date is specified, the export covers all results between the start and end of that day.
- If no date is specified, the export defaults to yesterday.
