Jobs
A Job represents a piece of work that assets are being used for. When a job is selected on a plant hour record or pool booking, the cost of that asset use is attributed to the job — allowing the total cost of a piece of work to be tracked and exported.
Jobs are created and managed entirely within Formbird FLEET. Unlike account codes, which map to an external accounting system, jobs are used to group asset costs within the application.
Managing jobs requires Administrator access.
Creating a Job
- Navigate to Jobs / Account Codes.
[VERIFY] Confirm the exact menu path — source material says this is accessed from the Works Management dropdown on the Administrator Homepage.
- In the Jobs panel, select New Job.
- Enter a Job Name. Optionally enter a Job Costing Number — when both are entered, they are combined wherever the job appears in the application.
- Optionally enter a Job Started date, Job Description, and Job Address.
- Optionally attach any relevant files or photos using the Attachments field.
- Select the Save Tick to save.
Users can also create jobs directly from a plant hour record when recording asset usage.
Viewing Plant Hours and Bookings on a Job
Once a job has been saved, the job record shows two panels:
- Plant Hours — all plant hour records where this job has been selected.
- Asset Bookings — all pool bookings where this job has been selected.
These panels give you a view of all asset use attributed to the job.
Completing a Job
When work on a job is finished and the job should no longer be selectable, enter a date in the Job Completed field and save the record. A job with a completed date is removed from the selection list when users are recording plant hours or creating bookings.
Filtering Plant Hours Records
The Plant Hours panel on a job record can be filtered to find specific records by date, asset, or job costing number.
Use the date filter fields (Date > and Date <) to limit records to a specific period. Type into the column filter fields below the table headings to narrow results further — the table shows only records matching all active filters simultaneously.
For example, to find all plant hour records for asset 265F and job J987123 in July 2024:
- Date >: 1 July 2024 12:00 AM
- Date <: 1 August 2024 12:00 AM
- Asset column filter:
265F - Job Costing Number column filter:
J987123
