Commuter Use Bookings
Commuter use bookings reserve a vehicle for your regular travel to and from work. There are two ways they can be created in Formbird FLEET:
- Automatic — if you are allocated to a specific vehicle, commuter use bookings are generated for you automatically during the periods the vehicle is not available for general hire. You don't need to do anything.
- Repeat booking tool — if your organisation has set up a commuter use pool, you can book any vehicle in that pool for commuter use using the repeat booking tool, which lets you create multiple bookings at once.
Which method applies to you depends on how your organisation has configured the system. Both methods may be in use at the same time.
Automatic Commuter Use Bookings
If you are allocated to a specific vehicle, Formbird FLEET automatically generates commuter use bookings for you during the vehicle's off-hire hours — typically overnight and on weekends. These bookings reserve the vehicle for your use during those periods without you needing to create them.
Automatic commuter use bookings appear on the calendar in a distinct colour and are listed in the Bookings panel when you select Commuter / Private Use from the Show filter.
You do not need to create, update, or close these bookings yourself. If you have questions about your allocation or the bookings being generated, speak to your Administrator.
Making Commuter Use Bookings with the Repeat Booking Tool
If your account belongs to a commuter use pool, you can book any vehicle in that pool for your commute and use the repeat booking tool to set up all your bookings at once.
- From the Asset Booking calendar, navigate to the date of your first commute.
- Select and drag across the cells on your preferred vehicle's row to set the booking duration. Release to open the Booking Details panel.
- Select Commuter Use from the Reason for Booking dropdown. The Repeat Booking tool appears below automatically.
If you adjust the booking time after selecting Commuter Use, the repeat booking tool will disappear. Reselect Commuter Use as the reason to bring it back.
- Confirm the Booking Start and Booking Completion times are correct.
- Select the calendar icon under Repeat Booking On and choose the additional dates to repeat the booking.
- Green — the asset is available on that date.
- Light blue — the date overlaps with the asset's unavailability.
- Red — the date conflicts with an existing booking.
- Select Create Bookings. A confirmation shows the outcome for each date.
Note: The Commuter Use reason only appears in the dropdown if your account belongs to a commuter use pool. If you cannot see it, contact your Administrator.
Viewing Your Commuter Use Bookings
All commuter use bookings — both automatic and manually created — are visible in the booking calendar and in the Bookings panel.
In the Bookings panel, select Commuter / Private Use from the Show filter to list commuter use and private use bookings specifically.
