Infringement Requests

An Infringement Request is the record type used to capture and manage a traffic or parking infringement associated with a fleet asset. It provides a structured workflow for recording the notice, identifying the driver, and tracking the outcome โ€” whether the infringement is forwarded to the driver, transferred to another party, or withdrawn.

Creating an Infringement Request

Infringement Requests can be created from an asset record or from the Infringement Request List.

  1. Navigate to the asset the infringement relates to.
  2. From the asset's request creation options, select New Infringement Request.
  3. Complete the relevant fields:
Field Description
Account Codes The cost centre or job code to assign the infringement cost against. See Account Codes.
Reported By The person logging the infringement. Defaults to the logged-in user.
Asset Detail The asset involved. Pre-populated when created from an asset record.
Infringement # The infringement notice number from the issuing authority.
Infringement Due The date payment or response is required.
Driver Details The driver assigned to the asset at the time of the infringement. Links to a user account.
Infringement Address The location where the infringement occurred.
Description Free-text notes about the circumstances of the infringement.
Uploads Attach the infringement notice or any supporting documentation.
  1. Save the record.

Managing the Workflow

The Report Signoff panel on an Infringement Request tracks the key steps in processing the notice. As each step is completed, the corresponding date is recorded and the checklist updated.

Step Date field
Notice received by the organisation Infringement Notice Received Date
Notice issued to the responsible officer or driver Infringement Issued To Officer Date
Infringement transferred to another party Infringement Has Been Transferred Date
Notice withdrawn or resolved without payment Infringement Notice Withdrawn Date

Update the Status field as the infringement progresses. Common statuses are Open (being actioned), and Closed (resolved).

Viewing All Infringement Requests

The Infringement Request List provides a searchable table of all infringement records across the fleet. Access it from the System Administrator or Asset Manager menu.

Use this list to monitor outstanding infringements, check upcoming due dates, and confirm that each notice has been actioned.
