Setting Up Your Workshop
Before your workshop team can begin using Formbird FLEET, a few things need to be configured. This article walks through the setup steps in order.

Step 1 — Create Your Workshop
A workshop record defines a maintenance facility or team in Formbird FLEET. All requests, work orders, and staff activity are linked to a workshop.

Step 2 — Configure Repair Types
Repair types classify the work coming into your workshop. They appear on requests and work orders and are used in reporting. Setting these up early ensures your team can categorise work correctly from day one.

Step 3 — Set Up Workshop Staff
Workshop staff need to be assigned to a workshop before they can use the Workshop Dashboard. Assign a Related Workshop to each Supervisor and Technician account so they see the right workshop's activity on their dashboard.
You can also set up rosters and leave records at this stage to support time recording and scheduling.

Step 4 — Configure Labour Rates (optional)
If your workshop records labour costs against Work Orders, set a Standard Rate and overtime rates on each workshop staff account. Rates are used when calculating the cost of Time Recorders — without them, time is recorded but no cost is calculated.

Step 5 — Configure the Workshop Dashboard
Every site has a default Business Configuration for the Workshop Dashboard. Review and update it to control which panels, reports, and navigation items are visible to your team. If different roles need different layouts, create Role Specific Configurations on top of the business default.

Step 6 — Configure Work Order Fields (optional)
Work Order Configuration controls which panels and fields are visible on each work order type. Use this to tailor what technicians see when completing a work order — hiding panels that are not relevant to your workshop and making required fields easier to find.

Step 7 — Configure Service Schedules (optional)
If your workshop uses preventive maintenance, set up service schedules to define how often each type of asset is serviced and what work is involved. Service requests are generated automatically based on these schedules.
