Maintenance Admin

Maintenance Admin accounts are for people who oversee workshop operations across multiple sites — primarily scheduling maintenance, managing workshop staff, and monitoring activity across all workshops. The Maintenance Admin role covers the same operational scope as a Supervisor, including the ability to carry out maintenance directly, but without being tied to a single workshop.


Homepage

The homepage for Maintenance Admin accounts is the Workshop Dashboard, loaded with all workshops visible rather than a single assigned workshop. This gives a cross-workshop view of the full maintenance pipeline — all triaged requests, all active work, and all outstanding items across every workshop in the organisation.

Requests

Maintenance Admins can create, schedule, and manage requests across all workshops. Because the dashboard shows all workshops at once, they can monitor incoming requests and triage activity organisation-wide rather than for a single site.

Work Orders

Maintenance Admins can create and assign work orders, review work in progress, and close jobs. They can also complete work orders themselves — recording the Technicians Report, capturing materials, and marking the work order complete — as they often carry out maintenance work directly in addition to their management responsibilities. Supervisor Review work orders can be assigned to a Maintenance Admin for sign-off in the same way as a Supervisor.

Work Scheduler

The Work Scheduler provides a calendar view of scheduled maintenance across all workshops. Use it to plan upcoming work, identify capacity gaps across sites, and move work orders between days or technicians.

Time Recording

The Time Recorders (last 7 days) panel on the dashboard gives a view of time logged against work orders across all workshops. Maintenance Admins can review time entries for any workshop or individual staff member.

Preventive Maintenance

Maintenance Admins have access to service schedule configuration and can manage preventive maintenance across all workshops, including creating and adjusting service schedules and managing service requests.

Other Tools

Maintenance Admins also have access to:

  • Asset Booking — book a pool vehicle from the booking calendar, accessed via the navigation menu on the dashboard. See Booking an Asset.
