Configuring Daily Drivers
This article covers how to configure which checks appear on a Daily Driver and how meter reading error checking works.
The checks presented to operators are controlled by the Asset / Component Group Mapping document for each asset group. Understanding how assets are assigned to groups is covered in Mapping.
Setup Overview
To configure Daily Drivers for your organisation, complete these steps:
- Create the check items you want to use
- Assign checks to each asset group via the Asset Group Mapping document
- Optionally add checks for individual assets via a Single Asset Mapping document
- Optionally adjust meter reading error thresholds for assets with unusual usage patterns
Step 1 — Create Check Items
Before assigning checks to asset groups, create the check items you need. Managing checks from a central list prevents duplicates and encourages consistency across your fleet.
- From the System Administrator Menu, navigate to Daily Driver / Risk Assessment / Verification [VERIFY: confirm exact menu name].
- In the Daily Driver Check Questions panel, create check items and organise them into categories.
Note: New checks can also be added directly from the Asset Group Mapping document using the + symbol next to the Daily Driver Checks field. However, using the central list is recommended to keep checks consistent.
Step 2 — Assign Checks to an Asset Group
Once your check items exist, assign them to the appropriate asset groups. For help identifying which mapping document applies to which assets, see Mapping.
- From the System Administrator Menu, open the Configuration dropdown and select Asset / Component Group Mappings.
- Use the column filters to find the mapping document for the relevant asset group.
- Select the document name to open it.
- In the Daily Driver Checks field, add or remove checks:
- To add a check, select the field to open the dropdown, start typing to filter, and select the item.
- To remove a check, select the × on the item, or place your cursor in the field and backspace.
- Save the changes.
Note: Changes to a mapping document apply immediately to all assets in that group.
Step 3 — Add Checks for an Individual Asset (optional)
Where a specific asset has features that need checking beyond the group configuration, a Single Asset Mapping document adds checks for that asset only. These checks appear on the Daily Driver in addition to the group's checks.
- Navigate to the Asset Group Mapping document for the asset's group.
- Scroll to the Single Asset Mapping Documents For Asset / Component Group panel at the bottom of the page.
- Select Add new child document and choose Single Asset / Component Mapping.
- Select the specific asset in the Asset field.
- Add the additional checks relevant to that asset.
- Save the changes.
Note: Single Asset Mapping documents can be cloned to quickly apply the same configuration to a similar asset.
Step 4 — Adjust Meter Reading Error Thresholds (optional)
When operators submit meter readings on a Daily Driver, Formbird FLEET checks whether each reading is plausible based on expected movement since the last Daily Driver. Readings outside the expected range are flagged as errors and excluded from updating the asset's meter.
The default thresholds are:

These defaults suit most assets, but may need adjusting for assets used more intensively or less frequently. For example, if a vehicle regularly travels 1,200 km between Daily Drivers, readings would be incorrectly flagged as errors. Increasing the threshold to 1,250 km would prevent this.
To adjust an asset's thresholds:
- Navigate to the asset and open the Asset Use panel.
- Update Daily Driver Max Daily Hours and/or Daily Driver Max Daily Distance as needed.
- Save the changes.
Meter reading errors can be reviewed in the Daily Driver Meter Error Management report [VERIFY: confirm exact report name].
