Training
Formbird FLEET includes a training management module for recording staff certifications, tracking expiry dates, and monitoring compliance. Training records are linked to employee accounts and can be connected to specific assets — so if an operator or technician assigned to a job lacks a required certification, the compliance reports surface that gap.
Training Types
Training Types define the catalogue of courses available in the system. Each type has a name and an optional description. Administrators manage Training Types from the Training Records area of the System Administrator Menu.
Creating a Training Type
- Navigate to Training Records from the System Administrator Menu.
- In the Training Types section, select New Training Type.
- Enter the Training Type name.
- Optionally enter Training Details to describe the course content or requirements.
- Save.
Training Records
A Training Record documents the completion — or scheduled completion — of a training course for one or more employees.
Fields

| Training Valid From | The start of the validity period for this certification. Required. |

| Training Status | Pending — not yet completed; Current — valid and active; Expired — past the Training Valid To date. |
| Training Details | Additional notes about the course content or requirements. |
| Address | The location where the training took place. |
| Trainees | The employee accounts who completed (or are scheduled to complete) this training. |
| Notify On Expiry | Accounts that receive a notification when this certification is nearing its expiry date. |
Creating a Training Record
- Navigate to Training Records from the System Administrator Menu.
- Select New Training Record.
- Select the Training Name.
- Enter the Training Valid From and Training Valid To dates.
- Set Training Status:
- Use Pending if the course has not yet been completed.
- Use Current if the employee has already completed the training and it is currently valid.
- Add all relevant employee accounts to Trainees.
- Optionally add accounts to Notify On Expiry to receive expiry reminders.
- Save.
Linking Training Requirements to an Asset
Assets can have required Training Types assigned to them. When requirements are configured, the system checks whether operators or technicians working on or with that asset have a current record for each required type. Assignments where training is missing are flagged and appear in the compliance reports.
To add training requirements to an asset:
- Open the asset record.
- Expand the Training Types panel.
- Select one or more Training Types that are required for this asset.
- Save.
Training Task Work Orders
A Training Task Work Order records that training has been formally completed within the workshop workflow. It links to a Training Record in Pending status and tracks the training against a Request in the same way as other Work Orders.
When a Training Task Work Order is created, the Training Type, Training Details, and Assigned fields are inherited from the linked Training Record. When the Work Order is marked complete, the linked Training Record is updated accordingly.

Two reports identify employees who have been assigned work without the required current training.
Untrained Daily Driver Report
The Untrained Daily Driver Report lists Daily Driver Check Sheets and Requests where the assigned operator or driver does not have a current Training Record for a Training Type required by the associated asset.
Navigate to Untrained Daily Driver Report from the System Administrator Menu under Training.

| Date | The date the document was created. |
| Assignee | The operator or driver assigned to the form. |
Untrained Work Order Report
The Untrained Work Order Report lists Work Orders where the assigned technician does not have a current Training Record for a Training Type required by the associated asset.
The columns are the same as the Untrained Daily Driver Report, with Assignee showing the assigned technician.
Use these reports together to identify compliance gaps and prioritise training before work is assigned or carried out.
