Bulk Updating Assets

Formbird FLEET includes two tools for updating asset data in bulk: the Bulk Update Assets page for applying changes to common fields across multiple assets at once, and the Asset Meter Update page for importing corrected or updated meter readings via CSV.


Bulk Update Assets

The Bulk Update Assets page lets you apply changes to multiple assets simultaneously. To access it, from the System Administrator Menu, open the Asset Management dropdown and select Bulk Update.

The following fields can be updated in bulk:

Field Notes
Business Days / Times The days and hours the asset is available for general use.
Available for Hire Days / Times The days and hours the asset can be booked through FLEET Booking.
Asset Department The department the asset is assigned to.
Asset Section The section within the department.
Location The asset's primary location.
Responsible Person The user account responsible for the asset.
Registration Expiry Dates The registration expiry date on each selected asset.
Daily Driver Check requirements Whether the asset requires a Daily Driver pre-start.
Vehicle Tracking Active Whether vehicle tracking is active for the asset.

Updating Business Days / Times or Available for Hire Days / Times

These two fields use a different update process from the others.

  1. In the assets table, select the row(s) for the assets you want to update. Select anywhere on the row except the link text in the Asset Name column.
  2. Select the days that apply to the selected assets.
  3. Enter the Day Start Time.
  4. Enter the Day End Time.
  5. Select Update.

Updating All Other Fields

  1. In the assets table, select the row(s) for the assets you want to update. Select anywhere on the row except the link text in the Asset Name column.
  2. Enter the new value in the applicable field(s).
  3. Select Update.

Note: You can apply multiple field changes to a selection of assets in a single update, but this increases the risk of unintended changes. Consider updating one field at a time for complex changes.


Asset Meter Update

The Asset Meter Update page imports meter readings from a CSV file to update Primary Meter and Secondary Meter values across multiple assets at once. The import matches assets using either Asset ID or Registration Number.

To access it, from the System Administrator Menu, open the Asset Management dropdown and select Meter Update.

Note: This page is intended for bulk corrections or initial data loads, not for routine meter updates. For correcting individual meter reading errors, see Meter Reading Errors.

Importing Meter Readings

  1. In the Mapping Document field, select an existing mapping document that matches your CSV file's column structure. To create a new mapping document, select the icon to the right of the field.
  2. Confirm that the selected mapping document matches your CSV file layout.
  3. Drag your CSV file onto the upload area, or select Choose Files to browse for it.
  4. If your CSV file has a header row, tick Ignore Header Line.
  5. Select Validate Data and review any errors listed before continuing.
  6. Correct any errors in your CSV file and re-upload if needed.
  7. Select Import Data.
