Completing a Daily Driver
A Daily Driver is a digital pre-start checklist that records the condition of an asset before it is used. Completing a Daily Driver in Formbird FLEET ensures any faults are reported directly to the workshop, enabling faster triage and resolution.
The checks on each Daily Driver are specific to the type of asset. You only see the checks relevant to the asset you are using.
Starting a Daily Driver
How you open a Daily Driver depends on your account type and context.
From a Pool Booking
If you have booked an asset through FLEET Booking:
- Open your booking on the Asset Booking calendar.
- Select Create Daily Driver.
The Daily Driver for your booked asset opens ready to complete.
From the Operator Menu
If you are an Operator:
- From the Works Management Operator Menu, select the asset you are about to use.
- In the action menu, select Create Daily Driver Check Sheet.

From an Asset Record
Workshop staff and Administrators can create a Daily Driver from any asset record.
- Navigate to the asset.
- In the Create Requests, Daily Drivers and Work Orders panel, select Create Daily Driver.
From the Request List
Workshop staff and Administrators can also create a Daily Driver from the Requests list.
- Navigate to the Requests list:
- From the admin homepage, open the Requests dropdown menu and select the list.
- From the Workshop Dashboard, select Request List in the navigation menu.
- Select New Daily Driver Check Sheet Request.
Completing the Checklist
Once the Daily Driver is open, work through the form from top to bottom.
Meter Readings
Enter readings in any Meter Reading fields shown. Which meters appear depends on how the asset is configured. They may include odometer (km), engine hours, or both. If the asset has no meters configured, or if its meters are updated automatically via a telematics integration, these fields will not appear.
Check Questions
Each check has a Pass, Fail, and NA (Not Applicable) response. Select the appropriate response for each item.
- To see more detail about a specific check, select the question mark icon next to it. This opens a description of what the check is assessing. The icon only appears if additional information has been configured for that check.
- Enter any relevant comments in the comment field below the check.
- To add a check not already on the list, select Add Check. Any check added this way applies only to this specific Daily Driver. It will not appear on future pre-starts for the same asset.
Reporting a Defect
If a check fails, mark it as Fail and enter any additional details in the comment field on that check line.
When at least one check is marked Fail, additional defect fields appear:
- In the Defect Description field, describe the fault in as much detail as possible.
- In the Priority field, choose how urgent the fault is:
- Urgent — Fleet Out of Service — the asset is not safe to use and should be taken out of service immediately. The workshop is alerted to an urgent fault and the asset is flagged as out of service until the fault is resolved.
- Non-Urgent — Fleet Operational — the asset is safe to continue using, but the workshop needs to be made aware of the issue. The fault is added to the workshop's queue to be reviewed and scheduled.
- In the Service Requested field, select In Workshop or In Field. If you select In Field, you can pinpoint the asset's current location on a map using your device's GPS or by placing a marker manually.
- Use Attach Images to add photos or other files that document the fault.
Both fault types appear in the Triage panel of the Workshop Dashboard for the workshop to review and action. For more detail on how faults are handled from the workshop side, see Actioning Daily Driver Faults.
Saving
When all checks are complete:
- Select Defect Inspection Complete.
- Save using the Save Tick in the top left corner.
