Status
Every asset in Formbird FLEET has a Status that reflects where it sits in its lifecycle. The status controls how the asset behaves in the application — including whether service requests are generated for it and where it appears in asset lists and reports.
Status Values
| Status | What it means |
|---|---|
| Commission | The asset is being set up or is not yet in active use. |
| Active | The asset is in service. Only assets with an Active status have preventive maintenance service requests generated automatically. |
| Decommission | The asset is being taken out of service but has not yet been disposed of. |
| Awaiting Disposal | The asset is ready to be disposed of but the process is not yet complete. |
| Disposed | The asset has left the organisation. Disposed assets are hidden from most views and cannot be selected for bookings, pre-starts, or other actions. |
Effect on the Application
Service request generation — Preventive maintenance service requests are only automatically generated for assets with a status of Active. If an asset is set to any other status, its service schedules will not create new service requests until the status is returned to Active.
Visibility — Disposed assets are excluded from asset selection lists across the application, including booking calendars, Daily Driver check sheets, and work orders. They remain accessible via the Asset List but are separated from active assets.
Setting an Asset to Disposed
When you change an asset's status to Disposed, a Disposed panel appears at the top of the asset page. You are required to record how the asset was disposed of using the Disposed By field.
The available Disposed By options are:

[VERIFY] Confirm the exact label names for the Disposed By options and their associated additional fields.
The Disposed Date is pre-populated with the current date and time when the status is changed, but can be edited.
