Asset List
The Asset List is your central view of all assets registered in Formbird FLEET. Open it from the Assets section of the Administrator homepage to browse and search the full fleet register.
Status Filters
At the top of the Asset List are status filter checkboxes. By default, active and in-service assets are shown. Select or deselect any status to adjust which assets appear:

Columns
The list displays the following columns for each asset:
| Column | Description |
|---|---|
| Image / Critical | The asset's display image thumbnail. A warning icon appears if the asset is marked as critical. |
| Asset | The asset name, linked to its record. |
| Asset Tags | Tags applied to the asset for categorisation. |
| Asset Type | The asset type classification (for example, Light Vehicle or Plant). |
| Asset Id | The asset's identifier. The list is sorted by Asset Id in ascending order by default. |
| Section | The organisational section the asset is assigned to. |
| Responsible Person | The person currently responsible for the asset. |
| Body Type | The body type of the asset. |
| Make | The manufacturer. |
| Chassis/Vin | The chassis or VIN number. |
| Model | The model name. |
| Registration | The registration number. |
| Primary Meter | The current primary meter reading (km or hours). |
| Status | The asset's current status. |
| Allocated To | The person the asset is currently allocated to, based on active allocation records. |
Critical Assets
Assets marked as critical display a warning icon in the Image / Critical column. The critical flag is set on the asset record and highlights assets that require particular attention, for example, assets with significant safety concerns or urgent maintenance needs.
Custom Asset List
The Custom Asset List is an extended version of the standard list that lets you choose which columns to display. Rather than a fixed column set, it builds its column list dynamically from every field available across all asset templates in your organisation.
Choosing Columns
Select Column Visibility to open the column picker. All available fields are listed. Select or deselect any field to show or hide that column. You can search the field list by name using the search box at the top of the picker.
Your column selections are saved automatically and restored the next time you open the Custom Asset List.
The following columns are shown by default:
- Name
- Asset Type
- Asset Tags
- Section
- Allocated To
- Responsible Workshop
- Body Type
- Make
- Model
- Registration
- Primary Meter
- Status
- Purchase Date
The Name column is pinned to the left of the table and remains visible when you scroll horizontally.
Filtering
The Custom Asset List opens with a Search Builder filter pre-set to show Active assets. You can modify or add conditions to filter by any combination of fields and values.
Each column also has a search box directly below the heading for quick per-column filtering.
Saving Searches
You can save a combination of Search Builder conditions and column visibility settings as a named custom search:
- Set your filters and column visibility as required.
- Select Save Custom Search.
- Enter a name for the search and select OK.
Your saved searches appear as buttons above the list. Select a button to restore its filters and column configuration in one step. Select the × on a saved search button to remove it.
Exporting to CSV
Select CSV to export the currently visible rows and columns to a spreadsheet file.
