Notification Management

Formbird FLEET can notify users by email, browser alert, or mobile push when events occur, such as a booking being made, a fault being reported, or a work order being assigned. Users manage their own subscriptions from their account, but as an administrator you can also manage subscriptions on behalf of any user.

You can manage subscriptions two ways:

  • For a single user — from that user's account, the same way a user manages their own.
  • For many users at once — using the Notification Bulk Management page.

Managing a Single User's Subscriptions

  1. Open the user's account. See Accounts for how to find and open an account.
  2. Scroll to the Notifications panel.
  3. Add, edit, or remove subscriptions the same way a user manages their own. See Subscribing to a Notification.

When you open someone's account as an administrator, you can subscribe them to any notification type. Operators and Drivers managing their own account only see a limited set of notification types, but that restriction does not apply when you manage their subscriptions for them.


Managing Subscriptions in Bulk

The Notification Bulk Management page lets you set up and manage subscriptions for many users in a single operation, instead of opening each account one at a time. Use it to subscribe a group of staff to a notification type, update the settings on existing subscriptions, or remove subscriptions in bulk. Subscriptions can be scoped to a specific list of assets where the notification type supports it.

Only System Managers and Administrators can access this page.

How the Page Works

The page has three panels, stacked top to bottom:

  1. Notification Configuration — choose whether you are creating or updating subscriptions, pick the notification type, and run the operation.
  2. Notification Settings — set the details that apply to the subscriptions, such as whether they are active, how they are delivered, and which assets they cover.
  3. Account Selection — choose which accounts (or existing subscriptions) the operation applies to.

Work down the panels: choose a mode, choose a notification type, set the details, then select the accounts and run the operation.

Create and Update Modes

The mode toggle at the top of the Notification Configuration panel controls what the page does. It defaults to Create.

  • Create — subscribes the accounts you select to the chosen notification type. If an account already has a subscription for that type, its settings are updated to match what you have entered rather than being skipped.
  • Update — shows the existing subscriptions for the chosen type so you can change their settings or delete them.

Choosing a Notification Type

Select a notification type from the Notification Type field. The list contains every notification type in Formbird FLEET, sorted alphabetically.

The settings shown in the Notification Settings panel change depending on the type you choose, because different notification types support different options. For example:

  • Some types can be delivered as a Browser Alert as well as by email; others are email only.
  • Some types can be limited to a specific list of assets, a vehicle pool, or a workshop.
  • Some types let you set a Valid From and Valid To date range.

Only the settings that apply to the selected type appear.


Creating Subscriptions

  1. Set the mode toggle to Create.
  2. Select a notification type in the Notification Type field.
  3. In the Notification Settings panel, set the details for the subscriptions:
    • Active — whether the subscription is switched on.
    • Method — how the notification is delivered (email, and Browser Alert where the type supports it).
    • Valid From / Valid To — an optional date range, where the type supports it.
    • Asset scope — choose All assets, or Select Assets to limit the subscription to a specific list. When you choose Select Assets, an asset grid appears so you can tick the assets to include.
    • Vehicle Pool / Workshops — where the type supports them.
  4. In the Account Selection panel, use the Subscribed filter to narrow the account list. It defaults to No, which shows only accounts that are not yet subscribed to this type. You can also choose Yes or All.
  5. Tick the accounts you want to subscribe. You can use the header checkbox to select every matching account.
  6. Select Create Notifications.
  7. Confirm the operation when prompted. A progress bar appears while the subscriptions are created, and a results table appears below the panels when it finishes.

Note: The Create Notifications button stays greyed out until your account selection is ready. When you use the "select all" checkbox, the page fetches every matching account in the background. The button becomes available once that selection is complete.


Updating Subscriptions

  1. Set the mode toggle to Update.
  2. Select a notification type in the Notification Type field. The Account Selection panel shows the existing subscriptions for that type, one row per account.
  3. Use the search box at the top of any column to find the subscriptions you want. Each row shows the account, whether the subscription is active, the delivery method, the valid date range, and any assets it covers.
  4. Tick the subscriptions you want to change.
  5. In the Notification Settings panel, set the new details you want to apply.
  6. Select Update Notifications.
  7. Confirm the operation when prompted. A results table appears when it finishes.

Deleting Subscriptions

You can remove subscriptions from Update mode.

  1. Set the mode toggle to Update and select a notification type.
  2. Tick the subscriptions you want to remove.
  3. Select Delete Selected.
  4. Confirm the operation in the warning prompt.

Deleted subscriptions are removed from the list straight away and no longer appear in the grid.


The Results Table

After each operation, a results table appears below the panels showing what happened to each account. Results build up across the operations you run while the page is open, so you can see everything you have done in one session.

Each row is colour-coded by outcome:

Result What it means
Created A new subscription was created.
Updated An existing subscription was updated with the new settings.
Deleted A subscription was removed.
Possible Error A network interruption occurred during the operation and could not be confirmed. The change may still have succeeded. Check the affected accounts before trying again.
Error The operation failed for that account. The reason is shown beneath the status.

Note: Unverified accounts are not shown in either grid and cannot be subscribed through this page.
